Scott Le Roy Marketing Service Definitions

Scott Le Roy Marketing, LLC (SLM) provides a number of multifaceted services for our clients. These definitions should enable our clients to understand which actions are our responsibility, and which responsibilities remain with them.

Do note that these definitions should not be regarded as exhaustive, and what actions are performed will be handled on a per-request basis, depending on related circumstances such as our work load, previous requests from the same client, and contractual obligations. These definitions serve as a starting point.

A good rule of thumb to begin with: SLM’s services, especially complimentary services through a Market Center’s subscription, primarily revolve around Keller Williams-provided systems, and SLM does not have access or information to help with services outside of what KW provides.

This includes but is not limited to: MLS systems, physical hardware (e.g. laptops, wifi, printers, smartphones), programs on a computer, smartphone apps besides the KW and Kelle apps, email systems besides the KW-provided G Suite email, CRM systems other than eEdge or Command (e.g. Kunversion, Buffini, Top Producer), Realtor.com, Zillow.com, Trulia.com, etc.

Scott Le Roy Marketing, LLC reserves the right to update these definitions at any time, without warning, as business needs dictate.

Keller Williams Associate Technology Onboarding

Beginning with initial notification that an Associate has joined the Market Center, either from the Market Center or the Associate themselves, SLM’s responsibilities include:

  • Sending a link to the new Associate setup questionnaire to the Associate, using the email address provided by the Market Center or the Associate
  • Contacting the Market Center and/or Associate to obtain the correct login information for any accounts associated with the setup process, especially for mykw.kw.com, if not submitted on the questionnaire, or if incorrect information was submitted
  • Processing the setup of that Associate’s KW Technology tools within two business days after receipt of the completed, accurate questionnaire and login information
    • E.g. if the Questionnaire/correct login information was received on a Monday, the first business day after begins on Tuesday, and the second business day is Wednesday
  • Setting up the following overarching services for the Associate:
    • KW Whitepages profile
    • eEdge Database and Website
    • KW App
    • Dotloop/eTransactions
    • KW Website powered by Placester (If available, more on this later)
    • KWConnect/Referrals profile
    • Homekeepr Pro account
  • If any information submitted on the questionnaire changes prior to sending the final “MyKW Setup Complete” email, SLM may make the change immediately, or upon request after sending the “Setup Complete” email, depending on workload and where the specific Associate is in the setup process, decided on a case-by-case basis

Complimentary Support/Marketing Services Through The Market Center’s Subscription

Found at www.ScottLeRoyMarketing.com/Support, SLM provides 40+ complimentary services to Associates and staff at Market Centers subscribed to our services.

    • 100% Profile Completion
      • Enter any required information in the KW Whitepages profile to bring the completion percentage listed on the MyKW home page to 97% (As of summer 2018, 97% is the highest this number can go, it is essentially the new 100%)
      • May require asking for additional information from the Associate
      • If required information is missing, SLM may add in default or filler information to bring the completion percentage up

    • Address Updating
      • Update the physical address listed on public profiles and marketing materials to reflect new or corrected office address on the following profiles:
        • KW Whitepages
        • eEdge website and marketing materials
        • KW App
        • KW Website powered by Placester (If available)
      • This service does NOT update physical addresses on Market Center websites or within WInMORE, as SLM does not have access to the WinMORE system
      • Please allow up to 72 hours for any changes made to be reflected on the KW App
    • Add Testimonials
      • Add a single testimonial to the KW Website powered by Placester (if available)
      • This service cannot add testimonials to the eEdge website
      • Maximum ten (10) testimonials added per Associate
      • The form must be completed once per testimonial to add
    • Bio(graphy) Updating
      • Update the Associate’s biography on all KW profiles including:
        • KW Whitepages
        • eEdge website
        • KW App
        • KW Website powered by Placester (If available)
        • Kelle and KW Connect Referrals
        • Command Marketing Profile
      • Please allow up to 72 hours for any changes made to be reflected on the KW app
    • Custom App Menu
      • Add a link to the menu of the KW Website powered by Placester (if available) to download the Associate’s personalized KW search app
      • Link can also be added to the eEdge website, but the menu button will not link directly to the app download page, it will link to a page within the eEdge website which will contain the download link. This will also use up the one and only custom page/menu item available on the eEdge website.
    • Custom Menu URL
      • Add a link to the menu of the KW Website powered by Placester (if available) to the page provided by the Associate on the SLM site form
      • Link can also be added to the eEdge website, but the menu button will not link directly to the provided page, it will link to a page within the eEdge website which will contain the provided link. This will also use up the one and only custom page/menu item available on the eEdge website.
    • Domain Forwarding
      • Forward or map the Associate’s previously purchased custom domain to their KW Website powered by Placester (if available), KW App download page, or eEdge website
        • For the Placester website, the Associate’s custom domain will display in the address bar. For the eEdge site and KW App download page, the original address provided by KW will show

    • Dotloop Email Update
      • Update the account and contact email within the Associate’s Dotloop account to the address provided by the Associate
      • VERY much preferred over creating a new account with the new email address, as previous loops will be preserved
      • Does NOT update the contact or account address anywhere else within MyKW
    • Email Address Update
      • Update the contact and account email within all accounts or profiles accessible within MyKW including:
        • KW Whitepages profile
        • eEdge Website and marketing materials
        • KW App
        • KW Website powered by Placester (if available)
        • Dotloop/eTransactions
        • Kelle and KW Connect Referrals
        • Command Marketing Profile
      • Does NOT update the contact or account email for any services not accessible through MyKW, including but not limited to:
        • The MLS system
        • Zillow/Trulia
        • Realtor.com
        • etc.
    • Email Campaign Setup
      • Set up an email campaign within eEdge and assign contacts to receive it, as defined by the Associate on the SLM site form
        • 33 Touch
          • Associate can request a particular campaign of this type
        • 12 Direct
          • Associate can request a particular campaign of this type
        • 8×8
          • Associate can request a particular campaign of Associate can request buyer or seller versions
      • Associate can request for all contacts to be added to the campaign, or only specific group(s)
      • If the eEdge database does not have any contacts, no contacts can be assigned to the campaign. Contacts can be assigned to the campaign after the fact as they are added
      • This service is limited to setting up campaigns within eEdge, as Command does not currently offer any campaign templates.
    • Export eEdge Contacts
      • Export some or all contacts from the Associate’s eEdge database into a CSV spreadsheet file
      • Associate can request certain statuses or groups to be exported, or all contacts
      • The Command database system does not currently have an export function
    • Featured Listings Update
        • Use filters to decide which listings show in the “Featured Properties” section of the homepage on the KW Website powered by Placester
          • Filters include but are not limited to:
            • That Associate’s listings
            • The Market Center’s listings
            • Price
            • Zip Codes
            • Cities
            • Beds
            • Baths
            • etc.
        • If the KW Website powered by Placester is not available on the Associate’s MyKW account, no filters can be set up. This feature is not available on the eEdge website
    • Find Kelle Login
      • Provides click-by-click instructions to find or reset the username and password for the Kelle AI app, which is the same as the login information for mykw.kw.com
    • Google Analytics Setup
      • Adds Google Analytics tracking to either the eEdge website or the KW Website powered by Placester
        • Requires login information for a Google account, whether the KW email or a regular Gmail account
        • This service is for setup only, any monitoring or optimization is the responsibility of the client
    • Google Webmaster Tools
      • Adds Google Webmaster Tools Search Console tracking to the KW Website powered by Placester to increase Search Engine rankings
        • Only available for the KW Website powered by Placester, not the eEdge website
        • This service is for setup only, any monitoring or optimization is the responsibility of the client
    • Headshot Update
      • Upload a new Associate profile picture to all accounts and profiles accessible through MyKW:
        • KW Whitepages profile
        • eEdge Website and Marketing Materials
        • KW App
        • Dotloop/eTransactions
        • KW Website powered by Placester (If available)
        • Kelle and KW Connect referrals
        • The headshot is uploaded to profiles exactly as provided by the client. No editing of any kind is performed (resizing, cropping, etc) by SLM
    • Homekeepr Widget(s)
      • Adds a vendor search widget, blog import widget, or both to the KW Website powered by Placester
      • Requires valid login information for a Homekeepr pro account
      • Only available for the KW Website powered by Placester
    • Import Database
      • Uploads a properly formatted CSV spreadsheet file to the eEdge and/or Command database system
      • File must be provided in a spreadsheet format (e.g. csv, xls, numbers)
        • Word, PDF, JPG and any other non-spreadsheet files cannot be used
      • Maximum of three (3) different files/groups/tabs/etc. can be imported per Associate
      • Be advised that due to a recent change in the Market Leader/eEdge import system, importing multiple contact files may take some extra time :-/The system is now limited to processing one file per Associate at a time, and that processing time varies widely from just a few minutes during off-peak hours (e.g. 2 AM) to over two hours during peak hours (e.g. 8 am to 9 pm).We appreciate your patience as we work within these new constraints.If you would like to learn how to import your files yourself in the future so that you don’t have to wait on us, here’s how: https://youtu.be/fltQdMipUaw
      • When importing into Command, one or more “Tags” (analog of eEdge groups) can be applied to all contacts in one file, or no tags applied. SLM Cannot apply some tags to some contacts, and other tags to other contacts, within the same file. Associate must separate different “Tag” groups into different files (maximum of three, as noted above).
    • Import Top Producer
      • Imports contacts from Top Producer 8i into the eEdge or Command database system
      • Requires valid login information for TopProducer8i.com
      • All contacts will be imported into a single group, if imported into eEdge. No groups from Top Producer 8i will be preserved within eEdge
      • Groups/Tags can be preserved when importing into Command
    • KW.com Email Alias
      • Creates an “alias” address under the Associate’s primary KW email account such that any messages sent to the alias address will show in the primary KW email inbox
      • Does NOT create a second KW email address to log in to with a separate inbox
      • Maximum of five (5) can be created per Associate
    • KW.com Email Forward
      • Forward any future messages sent to the Associate’s KW email address to an address of their choosing
      • Does NOT forward any previously sent messages
      • Requires correct login information for the KW email
    • KW Calendar Via Gmail
      • Add the Associate’s KW Market Center Intranet calendar to their Google Calendar
      • Requires login information for a valid Google account, whether the KW email or another Gmail account
    • KW.com Email Setup
      • If a KW email address does not already exist for the Associate, SLM will set up a new KW email address for that Associate within their MyKW account using the Associate’spreferences
      • If a KW email address does already exist, SLM will notify the Associate of that address and reset the password to match the MyKW password and provide that to the Associate
    • KW Email Through Gmail
      • Set up POP3 and “Send Mail As” within another Gmail account to access and send mail as the KW email
      • Requires login information for both the KW email and another Gmail address
      • All previous messages sent to the KW email will be copied to the other Gmail address, and all future messages will be forwarded to the other Gmail address
      • When composing a new message in the other Gmail account, Associate will have the option to change the “From” address to their KW email address
      • Only works with Gmail, no other email services such as Yahoo, AOL, etc.
    • Leaving Team
      • Removes mention of any team membership from all MyKW profiles and Marketing Materials
    • Mortgage Calculator
      • Adds a mortgage calculator widget to a page on the Associate’s KW Website powered by Placester
      • Cannot be added to the homepage of the website
      • Can be added to the eEdge website on a custom page or on the home page
    • MyKW Optimization
      • SLM will comb through all profiles within MyKW to ensure that everything is set up 100% completely and correctly, and the Associate has access to everything they are supposed to
        • SLM may request additional information to complete this service
    • Open House Sign In Sheet
      • Adds a Google form to collect information during open houses to the Associate’s KW Website powered by Placester
        • Requires valid login information for a Google account, whether the KW email or another Gmail address
      • Not available or the eEdge website
    • Phone Number Update
      • Updates the contact/mobile phone number on all MyKW profiles:
        • KW Whitepages
        • eEdge website and Marketing Materials
        • KW App
        • KW Website powered by Placester (if available)
        • Kelle and KW Connect referrals
    • QR Code Creation
      • Creates a QR code that when scanned will link to a website address provided by the Associate
    • Reset MyKW Password
      • Provides the page to submit a request for a password reset email to be sent to the Associate’s stored recovery email address or to the MCA
      • No other options are available to send the reset link to
    • Shared Access Setup
      • Set up shared access between a “lead” Associate and a “member” Associate, where the “member” Associate can access the “lead” Associate’s eEdge database to add or edit contacts, and create marketing materials
      • Even in an “equal partnership” e.g. husband and wife, one must be the “lead” and one must be the “member”
      • Only works one way, the “lead” Associate cannot access the “member” Associate’s database
      • No contacts will be transferred or synced between the “lead” and “member” databases
    • Social Media Update
      • Update the links to social media platforms on all KW profiles:
        • KW Whitepages profile
        • eEdge website and marketing materials
        • KW Website powered by Placester (if available)
        • Kelle and KW Connect referrals
    • Team Info Update
      • Updates all KW profiles to include new team name, email address, and/or phone number:
        • KW Whitepages profile
        • eEdge website and marketing materials

        • KW Website powered by Placester (if available)
        • Kelle and KW Connect Referrals
        • Command Marketing Profile
      • Only email address and phone number can be updated on Kelle and KW Connect, to add the Team name, the MCA must add this in the WInMORE system
    • Testimonial Form
      • Add a Google form to collect testimonials to the KW Website powered by Placester (if available)
      • Requires valid login information for a Google account, whether the KW email or another Gmail account
      • Testimonials submitted via this form must be manually added to the site
      • Not available for the eEdge website
    • TMIRE (This Month In Real Estate) Video
      • Add the This Month In Real Estate video provided monthly by KW International to either the KW Website powered by Placester (if available) or the eEdge website
      • Automatically updates with the newest version each month
      • Will be added to a separate page on either site, and will use the one custom page available on the eEdge website
    • Update Slideshow
      • Upload up to five (5) new images to the slideshow for the homepage of the KW Website powered by Placester (if available)
      • Images should be roughly 3-4 times wider than they are tall
      • Not available for the eEdge website
    • Website Address Update
      • Update the website address displayed on public profiles within MyKW to one provided by the Associate:
        • KW Whitepages profile
        • eEdge Marketing Materials
        • KW App
      • Can be one of the KW-provided sites, or a third party site address
      • Does NOT connect a custom domain to a KW website, see “Domain Forwarding” instead
    • What’s My Home Worth?
      • Add a Google form to the KW Website powered by Placester to collect seller lead information to create a manual CMA to send to the seller
      • Requires valid login information for a Google account, whether the KW email or another Gmail account
      • Does NOT automatically generate a CMA and send it to the lead, the CMA must be generated and sent manually by the Associate
      • Not available for the eEdge website
  • Zillow Review Widget
    • Add a widget from Zillow to automatically display the three (3) most recent reviews submitted on the Associate’s Zillow profile to the KW Website powered by Placester (if available)
    • Requires valid login information for a Zillow Associate account
    • Replaces the existing Testimonials page within the Placester website
    • Not available for the eEdge website

Compliance Update Services

Found at www.ScottLeRoyMarketing.com/Compliance, SLM Can update various KW profiles with information required to be compliant with state, MLS, or vendor requirements

NOTE: SLM provides services in good faith to the best of our ability, but makes no guarantees that any profiles will meet requirements to avoid any fines. The final responsibility for compliance rests with the Associate, and the final authority for whether profiles meet compliance requirements is the Broker of Record.

        • Update eEdge Website and KW Website powered by Placester with Managing Broker’s name “above the fold” on every page
          • Requires that the Associate know and send the name of the Managing Broker
          • Requires correct mykw login information
    • DRE Updating
      • Update MyKW profiles with the DRE# required by California and New York in the format  DRE# XXXXXXXX:
        • KW Whitepages profile
        • eEdge website and Marketing Materials
        • KW App
        • KW Website powered by Placester (if available)
        • Command Marketing Profile
      • Other compliance requirements may be in place, especially in New York, that this service does not cover. See the compliance link for your particular state for more detail

    • Requires valid login information for the Associate’s email system
      • SLM cannot add links to a desktop email client such as Outlook or Mac Mail
      • Cannot be added to the default mail client on smartphones or tablets. Only the Gmail app for Gmail accounts can support links in the signature on these devices
    • Associate must provide completed IABS form, we cannot complete the IABS form for them
    • Completed, correct links to the forms will be provided if access to one or more services is not available
